Open and Closing procedure

At this time we still do not have an official (written-down) open/close procedure.

I have just handed out to every full-time staff member a key to the side door that opens into the large "cubicle room."

If you take a look at every door inside AND outside of the building, you will see a number stuck to the top-right hand corner of the door.

Each key we have will have a number written on it that corresponds to the door it goes to.

The "cubicle room" door is number 4 (four).

We will still not be arming the alarm system (until Sue A. gets back from vacation at least).

OPEN PROCEDURE:

We will have to make sure that we have a full-time employee scheduled to get into the building via door #4. The rest of the staff who work that day will have to continue to park in the back and walk around to the front door where the opener will have to let them in.

If the full-time person is not a circulation person they will have to remain up front until at least one circulation person comes in.

Once a second person is in the building to watch the front door the a staff member can:

1. Turn on the lights in the public bathrooms.
2. Turn on the lights located immediately inside the door by Biographies. Turn on ONLY the red tagged fuses.
3. Turn on the lights located in the back utility room (by all the extra shelving). Turn on ONLY the 4 (four) fuses tagged with the word "light" in the description.
4. Turn on the lights in the large "cubicle room". It is a single switch located on the truck well wall, behind the receiving table (atlas case).
5 Reboot both reference computers and the laptop at reference.
6. Reboot all three circulation computers.
7. Turn on all PAC's by pressing the power button on the CPU. You do NOT need to turn on the monitors.

The circulation staff will have to make sure that at least one person is at the front desk at all times until open.

Any full-time staff that unlock any door MUST make sure that they relock once they have gained entry to the building.

***IMPORTANT *** The ONLY door that should REMAIN unlocked during open hours is the front door ***

We should be able to get this procedure worked out so that staff do not have to "tromp" all the way around the building before bad weather comes.

CLOSE PROCEDURE:

Staff should announce that the library is closing at 15 minutes to close over the new PA system.

At closing time, staff need to: (and not necessarily in this order)
1. Walk the building and make sure all patrons are out.
2. Lock the front door. The key is hanging at circulation behind the door.
3. Open all outside doors and check the outside handles to make sure they are locked from the outside. When closing the doors make sure they are completely latched. **On the meeting room door and the lounge door you will probably want to turn off the "alarms". They are located at the top of the door jam (little white boxes) and have a small black switch. Turn them to off, check the door, and then turn them back to on.
4. Check both public bathrooms and make sure they are empty. Also be sure to turn off the lights in the bathrooms.
5. Turn off the lights located immediately inside the door by Biographies. Turn off ONLY the red tagged fuses.
6. Turn off the lights located in the back utility room (by all the extra shelving). Turn off ONLY the 4 (four) fuses tagged with the word "light" in the description.
7. Turn off the lights in the large "cubicle room". It is a single switch located on the truck well wall, behind the receiving table (atlas case).
8. Turn off the PAC's. You only need to turn off PAC 2, 3, 4 and WORD 1, 2, 3, 4. While at the station press the ALT & the F4 key at the same time. A box will pop up with three options, choose the Turn Off option. You do NOT need to turn off the monitors.
9. Make sure all the lights in the front offices are turned off. There are MANY to check. ML's office, the small meeting room, the kitchen, the mop room, the staff bathroom, JW's office, Circulation and 2 (two) hallway lights.
10. Check the drop box and make sure it is in its proper position with the wheels blocked. The drop box should be about 2 inches AWAY from the chute in case of any water making it into the chute. Then close the door to the truck well and lock it.

AGAIN, this is most likely to change along the way so please be patient as we work this out.
